I work in a company that uses a combination of Windows PCs and Macs, with back end servers running a mix of Windows 2008, Windows 2003 and Linux servers.
We all use Outlook as our email client, with hosted Exchange services.
The issue that's been coming up again and again is how to handle full mailboxes. We've basically established a rule that users don't get mailboxes that hold more than 4GB of content. (Not only does our mail hosting service start charging us more if we use more space, but more importantly -- it seems that Outlook tends to get unstable and occasionally damages message stores when they contain much more than about 4 - 5 GB of data.)
Problem is, no matter how much we tell people to delete their old mail and show them how they can archive out items they want to save -- they claim that's not good enough. They're always wanting to search for some old piece of mail, using Outlook like a filing system, and claim they don't have the time to mess with re-importing archived mail to look at it, etc.
Especially with Outlook 2011 for OS X, mail archiving is rather clunky anyway. (No "auto-archive" feature exists on a pull-down menu, for example, and if you drag and drop a mail folder to the desktop, you get a .mbox file which can't be viewed again simply by double-clicking on it.)
I know at a previous job, we had a document management system (a Windows product) that essentially had unlimited storage capabilities for documents of all kinds, and provided very rapid search and retrieval capabilities. It had integration with Outlook so any mail you like could be moved to the system with a single click of a toolbar button it added.
I'm wondering if any such packages are out there like that which work with both PC and Mac, and if anyone familiar with such a product could make any recommendations?
